Privacy Policy

Effective Date: September 23, 2026

Our Policy:

Welcome to AutoMynd's website and mobile applications, including the AutoMynd Android app (collectively, the “Services”). AutoMynd Inc. ("AutoMynd", "we", "us", "our") is dedicated to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information, including personally identifiable information (“Personal Data”), when you interact with our Services. Our Services are designed for healthcare providers, including clinicians and other medical professionals.

What This Policy Covers:

This Privacy Policy covers our collection, use, and disclosure of Personal Data. Personal Data is any information that can identify an individual, including but not limited to, names, email addresses, and health-related information. It does not include aggregated or anonymized data that cannot be used to identify an individual.

Information We Collect:

1. Personal Data You Provide:

  • Healthcare Providers: We collect information from healthcare providers who use our Services, such as names, contact details, professional credentials, and health-related data necessary for the Services.
  • Prospective Customers: We may collect contact information and other details from individuals or entities interested in our Services.

2. Data Collected Automatically:

  • We automatically collect certain data when you visit our website or use our app, such as your IP address, browser type, device information, and usage data. This information helps us understand how our Services are used and improve them.

3. Cookies and Similar Technologies:

  • We use cookies and similar technologies to enhance your experience, gather usage data, and manage access to certain features. You can control cookie preferences through your browser settings, but disabling cookies may affect your experience with our Services.

Location Data and Device Permissions:

With your permission, the AutoMynd mobile app collects precise location data from your device, including in the background when the app is closed or not in use, to verify the time and location of patient visits (Electronic Visit Verification) and to support visit scheduling and routing.

Before any location data is collected, the app shows an in-app notice explaining what is collected and why, and asks for your consent. Your device then asks you to grant the location permission. You can decline, or withdraw permission at any time in your device settings (for example, Settings > Apps > AutoMynd > Permissions > Location). If you do, features that depend on location, such as visit verification, may not work.

Location data is transmitted securely to your healthcare organization's AutoMynd account and is used only for the purposes described above. We do not sell location data and do not use it for advertising.

How We Use Your Information:

We use the information we collect to:

  • Provide, maintain, and improve our Services
  • Verify patient visits and support visit scheduling using device location, with your permission
  • Authenticate users and secure access to the Services
  • Communicate with you regarding updates, promotions, and other information
  • Respond to inquiries and provide customer support
  • Analyze usage trends and optimize our Services
  • Ensure compliance with legal and regulatory requirements

Disclosure of Your Information:

1. Service Providers:

  • We may share your information with third-party service providers who assist us in operating our business, such as cloud hosting, payment processing, customer support, and analytics providers. These providers may use your information only to perform services for us. We do not sell Personal Data, and we do not share location data with advertisers or marketing partners.

2. Business Transfers:

  • In the event of a merger, acquisition, or asset sale, your Personal Data may be transferred as part of the transaction. We will notify you of any such changes.

3. Legal Requirements:

  • We may disclose your information if required by law or to protect our rights, safety, or property, or that of others.

We implement reasonable security measures to protect your Personal Data from unauthorized access, use, or disclosure. However, no data transmission over the internet or storage system can be guaranteed to be 100% secure.

Location data linked to visit records is retained as part of the visit record for as long as your healthcare organization is required to keep it.
